About the Role:

Axcel Learning is looking for an Executive Assistant to support its executive team, including the

CEO, COO, CFO, Senior Director of HR, and VP of M&A

Opportunity:

We are seeking an Executive Assistant to provide comprehensive administrative and operational

support to Axcel’s executive team. This role offers an exciting opportunity to be at the heart of a

What you will do:

Administrative Support:

Provide day-to-day administrative support to Axcel’s executive team

  • Increase executives’ productivity by anticipating needs and taking ownership of planning and executing activities.
  • Schedule meetings with internal and external stakeholders, resolve scheduling conflicts, and create focus blocks to enhance productivity.
  • Compose and manage email communications on behalf of executives, ensuring critical messages are promptly addressed.
  • Develop detailed meeting notes and agendas, oversee action items, and ensure attendees complete any necessary follow-ups. Assist with slide creation for team-wide meetings as needed.
  • Keep executives informed of key tasks, deadlines, and commitments by managing and sending reminders.
  • Coordinate work-related travel, including booking flights, hotels, conference rooms, and dinner reservations.
  • Plan and execute in-person company events, managing all logistical details (e.g. catering, tech/AV, travel).
  • Handle expense management, including preparing expense reports in line with company T&E policy.

Operational Support:

Support critical operational processes in partnership with Axcel’s executive team

*Document Management:

  • Manage Axcel’s Box filing system to ensure documents are organized and accessible.
  • Monitor project timelines, milestones, and weekly priorities using Monday.com.

* Legal Forms / State Registrations:

  • Maintain an updated inventory of Axcel’s business licenses and state registrations.
  • Complete various legal documents and treasury forms, acting as an authorized signatory on behalf of Axcel’s executive team.
  • Work with Axcel’s registered agent to ensure compliance with annual report filings.

*Technology & Onboarding:

  • Coordinate with Axcel’s Managed Service Provider (MSP) to set-up necessary systems before new hires start.
  • Oversee the procurement and shipment of company laptops and other equipment.
  • Partner with HR to ensure new employees are introduced to the team, set up initial meetings with key stakeholders, and have all necessary system access.
  • Be the first line of defense with tech troubleshooting by connecting employees with Slack Support and Axcel’s MSP.

What you will bring:

  • A proven track record – minimum of 5 years of experience as an Executive Assistant or in a similar administrative role supporting multiple executives.
  • Exceptional attention to detail, organizational and time-management skills with the ability to multi-task and prioritize effectively.
  • Excellent interpersonal and communication skills (written and verbal), including the ability to work with individuals at all levels of the organization.
  • Ability to adapt quickly to evolving business needs and thrive in a fast-paced work environment.
  • An ownership mentality, taking the initiative to anticipate and quickly resolve problems with a high degree of professionalism.
  • A 'how can we make it happen' attitude, focusing on possibilities rather than limitations
  • Sound judgment and the ability to maintain discretion and confidentiality when handling sensitive information
  • A culture carrier mindset, contributing to build a supportive and collaborative working environment
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint). Experience with Box
  • Drive, Monday.com, Google Workspace, and Expensify is a plus.

Benefits:

  • Axcel anticipates the base salary to range from $70,000 to $90,000 and will depend on current market data and the candidate’s qualifications for the role, including education and experience. The compensation described above is subject to change and could be higher or lower than the range described based on several factors.
